Minimum Requirements:

  • Experience in an Office environment, Real Estate a Plus
  • High School Diploma
  • 1 year administrative experience
  • Proficient in Microsoft Office
  • Bilingual – English and Spanish
  • Adobe Creative Suite Programs a plus (InDesign, Illustrator and/or Photoshop)

Job Responsibilities

  • Provides general office support with a variety of clerical activities and related tasks.
  • Answers telephones and directs all incoming calls to the appropriate associates.
  • Receives, sorts and forwards incoming mail.
  • Greets and directs visitors to the company.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Order and stock kitchen supplies.
  • Maintain conference room calendar
  • Prepare morning American coffee for the Pinecrest office
  • Prepare afternoon Cuban coffee for the Pinecrest office
  • Coordinate monthly birthday celebrations
  • Maintain and decorate chalk wall each month
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.
  • Assist Director of Operations with other tasks such as social media and posting, creating email blasts, and database management.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type and Expected Hours of Work

Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 6:00 p.m. and must work 37.5 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.
